Dixcart International Limited (“Dixcart”) Privacy Notice (Marketing)

This statement is designed to help you understand how Dixcart group uses your personal data when that data is entered into HubSpot, the customer relationship management system used by the group.

Personal data is data which relates to you when you can be identified from that data or from that data when combined with other information which is in the possession of or is likely to come into the possession of any member of the Dixcart group. The definition of personal data includes any expression of opinion about you and any indication of the intentions of the Dixcart group or any other person in respect of you.

The Dixcart group is made up of UK companies (Ditco Business Services Ltd, Dixcart International Ltd, Dixcart Audit LLP), Isle of Man companies (Dixcart Group Ltd, Dixcart Management (IOM) Ltd, DBC Ltd), Guernsey companies (Dixcart Trust Corporation Ltd, Dixcart Domiciles Ltd, Dixcart Fund Administrators (Guernsey) Ltd), a Portuguese company (Dixcart Portugal Lda), Swiss companies (Dixcart Switzerland Sarl, Dixcart Trustees Switzerland SA), Malta companies (Dixcart Management Malta Ltd, Elise Trustees Ltd), a Cyprus company (Dixcart Management (Cyprus) Ltd) and a Sark company (Dixcart Management Ltd).

All of the companies in the Dixcart group are joint controllers of the personal data held about you in HubSpot.

What personal data is processed and how is it used?

We will collect personal data about you for use in HubSpot when:

  • You meet with a representative of a Dixcart group company
  • You contact a Dixcart group company and you are not already a client of any Dixcart group company
  • You are referred to a Dixcart group company
  • You make an enquiry via the web site of a Dixcart group company
  • You read a Dixcart article on the Mondaq platform
  • You connect with a representative of a Dixcart group company on the social media platform such as LinkedIn.

We will use the personal data we collect to create a contact profile for you in HubSpot and this profile will always include your name and your email address, the person in Dixcart that is responsible for managing your profile and which Dixcart office they work for, the country and city/town in which you are located, the type of contact you are, what topics are of interest to you and information about your marketing preferences.

The Dixcart group uses HubSpot to manage contacts, pipeline work and marketing activity. That means that when a contact profile has been created for you, that profile can be updated with information about any work that you are planning to do with a Dixcart company as well as information about any meeting, call or other correspondence that a representative of a Dixcart company has with you. It also means that some information about you might be included in reports that are generated from HubSpot for the CEO and COO of the Dixcart group.

If you interact with content that we send to you, for example a marketing newsletter, HubSpot enables us to record within your contact profile that you have opened what we sent you, what links you clicked, the time and date of your interaction and your general engagement patterns. We use this information to assist us in understanding the effectiveness of our marketing campaigns and to help to ensure that they are relevant and of interest.

Where is the data stored?

The data is held in HubSpot and hosted in Europe.

Who can see the information?

Any authorised user of HubSpot within the Dixcart group has access to the personal data held in HubSpot and could, therefore, see information about you. Dixcart group has established authorisation protocols and has also got procedures and controls in place in relation to what can be done with your personal data.

Is your data used for marketing purposes?

The Dixcart group will use your data for marketing purposes if that is in accordance with your marketing preferences. You can amend your marketing preferences at any time by using the unsubscribe link in a marketing communication or by emailing marketing@dixcart.com.

Your data will not be provided to any third party so that they can market their products or services to you.

How long is the data kept for?

Where there has been no activity on your profile for any two-year period, your contact profile will be deleted from HubSpot unless a representative of a Dixcart group company has provided a rationale for why the contact profile needs to be retained.

How securely is the data kept?

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

Your rights

If you wish to see the data processed about you in HubSpot, please contact privacy@dixcart.com. You can also make a request to any representative of a Dixcart group office using the normal contact details you have for them.

You have additional rights under data protection legislation such as the right to rectification of incomplete data and the right of erasure of data. You also have the right to receive the personal data you provide to us in a structured, commonly used and machine readable format and have the right to transmit this data to another controller, without hindrance from us.

An important right that you have is the right to object to processing. This right applies where, after careful consideration, it has been decided that is in the legitimate interests of the Dixcart Group to process data about you. The Dixcart group processes data for its legitimate interests when it enters your personal data into HubSpot and when it uses that personal data for contact management, pipeline management and marketing activity.

If you wish to exercise any of these rights, please contact privacy@dixcart.com. You can also make a request to any representative of a Dixcart group office using the normal contact details you have for them.
